When do we collect your data?

We collect personal data about you whenever your booking information is handled through our system, the Switch. We also collect a few personal data when you register as a user (only applicable for company representatives, e.g. agents, ferry operators, reservation system providers etc.) on our site

Why do we collect and how do we use the personal information?

Registration of the information is necessary to enter into an agreement (booking) with a ferry operator through the Switch. In addition, the ferry operator is required by law to register the identity of passengers and to give that information to relevant authorities.

Due to this, the travel agent or whoever you book with will ask for name, gender, date of birth or age, address, e-mail address, telephone number and vehicle registration number (if any). If volunteered by a person, information concerning the need for special care or assistance in emergency situations will also be collected.

Personal profile

Your personal data is also used if you have created a profile on the website. The information is used when we need to contact you or to supply you with news or other relevant information, e.g. new version of the FerryGateway standard protocol.

How do we protect your personal data?

We use secure server software, which encrypts all of the information. This encryption ensures that the information is appropriately protected against unauthorised interception.

How long do we keep your personal information?

The personal data in the booking information will be kept for a period corresponding to the time where we would need to perform troubleshooting. This period would be no longer than two (2) weeks.

If you register a personal profile on the site, we will store your personal data until you ask us to delete your profile. To be sure we have updated information about our users, we encourage you to let us know any relevant changes in your profile and we will update it.

Our use of cookies

FGWA do not use cookies on its website.

Will FGWA disclose information collected to third parties?

Personal booking data will not be shared internally within FGWA organisation, unless there is a troubleshooting situation. We have internal policies and agreements in place to ensure an adequate level of protection.

Personal data stored on the site will be shared internally within FGWA, but only to a restricted number of persons. The purpose is to provide you with adequate information and to handle your matters in a professional way.

We will not transfer personally identifiable information about our clients or registered users to a third party, except in the following cases:

  • FGWA may provide aggregate statistics about booking traffic, traffic patterns and relatedinformation to our member companies.
  • In the event we sell property or safety of FGWA, its employees and others, or in the event we sell or liquidate any part of business or assets.
  • If we are legally required to do so.

Any such sharing will be in compliance with data protection law, and only to trustworthy third parties.

We always strive to clearly inform you regarding the uses and possible disclosure of your information when such information is obtained. If it is not practical to do so at the point of collection, we will inform you as soon as possible, unless there is a legitimate basis for not doing so. For example, where it is necessary for the prevention or detection of a crime or where otherwise permitted by law.

In using the FGWA website, you consent to the collection and use of this information by FGWA in the methods described above. If our Privacy Policy should change, we will make the relevant changes here so that you are always aware of the information we collect, how we use it and under what circumstances it might be disclosed.

Please note that if you are person that has used a booking dialogue supplied by a travel agent or other similar organisation, then you should contact that organisation or the ferry operator you have booked with in the first place. Your personal information may have passed our Switch system on its way to the ferry operator and information will in that case be stored by us, but only temporarily.
